Bookkeeping

What is this

Systematic recording of every business transaction — sales, purchases, expenses, receipts, and payments — in proper books of account, maintained on accounting software or as required under applicable law. Good bookkeeping is the foundation on which GST returns, income-tax computations, and bank finance all rest.

Documents generally required

  1. Sales invoices / bills issued
  2. Purchase invoices and expense bills
  3. Bank statements for all business accounts
  4. Cash receipts and payment records
  5. Loan and credit-card statements, if any
  6. Previous year's books / financial statements (for opening balances)
  7. GST portal login details (for reconciliation), where registered

Finalisation of Books

What is this

Year-end closure of the books of account — passing adjustment entries for depreciation, provisions, prepaid and outstanding items, valuing closing stock, reconciling balances, and preparing the trial balance from which final accounts are drawn up.

Documents generally required

  1. Complete books of account / trial balance for the year
  2. Bank statements with reconciliations
  3. Closing stock / inventory details and valuation basis
  4. Fixed asset purchase and sale documents during the year
  5. Loan statements and interest certificates
  6. Details of debtors and creditors with confirmations, where available
  7. Previous year's audited / finalised financial statements
Note: Finalised books feed directly into income-tax returns, GST annual returns, and audit — one careful closing avoids three sets of corrections later.

Financial Statements

What is this

Preparation of the Balance Sheet, Statement of Profit & Loss, and accompanying notes and schedules in the format applicable to the entity — Schedule III for companies, or conventional formats for proprietorships, partnerships, and LLPs.

Documents generally required

  1. Finalised trial balance / books of account
  2. Schedules of fixed assets, loans, investments
  3. Statutory dues position (GST, TDS, PF/ESI)
  4. Contingent liabilities and commitments, if any
  5. Previous year's financial statements (for comparatives)
